Memorandum for the Record

 

The meeting was called to order at 6:05 p.m. at the Ramada Inn in Woodstock, Virginia, by VCCA President, Virginia Hartman.

Because of health problems, the VCCA Secretary could not attend the meeting. Therefore, the President postponed the reading of the January and February Executive Committee minutes until the next meeting.

 

Committee Reports:

 

1.       The President requested that the Executive Committee review the definition for each class of membership as defined in the Constitution and Bylaws.  Specifically, examine the three classes of individual membership and the two classes of adjunct membership for clarification purposes.  Should revision be needed, an amendment to the Constitution would need to be published 30 days prior to the Fall VCCA Assembly of Delegates in October. 

 

·        Rank of faculty, full-time vs. part-time vs. administrators, etc.

·        Permanent support staff, full-time vs. part-time and 1500 hour employees.

·        Adjunct membership – confusion caused with adjunct professor status.

 

2.     The Member at Large liaisons will remind colleges of the membership contest deadlines of June 30 for the $100 cash award for most members and the October 1 deadline for the $50 and $25 cash awards for most members enrolled.

 

3.     Commission Liaisons will contact each commission chair if names of officers have not been submitted for publication on the VCCA Website.

 

4.     The Publications Liaison will establish deadlines for newsletter article submissions and solicit input from college representatives.

 

5.     The Executive Committee reviewed the report on the search of archives for information on Support Staff funds as requested by the Support Staff Commission.  The thorough review of records disclosed $1814.52 of general funds of the VCCA belong to the Support Staff Commission.  The Executive Committee moved, seconded, and passed a motion authorizing the President to meet with the Support Staff Commission Chair, to provide copies of annual financial reports for 1993, 1994, 1995, and 1996 which verify the amount, and to ask the Support Staff Commission to establish a plan for using the $1814.52 by the end of the Fall 2000 Convention (for speakers, etc.).  The motion included the provision that unexpended funds will be returned to the VCCA general fund in November 2000.  Thanks were extended to Sue Captain, Parliamentarian, for this report on the archives.

 

6.     The VCCA archives continue to be organized and a retention plan will be developed for maintaining the archives and presented to the Executive Committee for approval.

 

Discussion focused on partnerships with business and industry and vendors to provide sponsorships of the VCCA Convention and Leadership Conference.

The Leadership video was reviewed.

 

A motion was made and seconded to adjourn at 10:30 p.m. Motion carried. The next meeting of the Executive Committee will be held on April 2, 1999 at 8:30 a.m.
