The meeting was called to order at 9:00 a.m. at the Refuge Inn in Chincoteaque, Virginia, by VCCA President, Virginia Hartman.

A motion was made and seconded to accept the minutes of April 1, 1999, meeting of the VCCA Executive Committee, as corrected.  Motion carried.

The Treasurer, Claudia Macon, reported that the institutional invoices had been mailed to the colleges, that the tax returns had been prepared and

were available for review, and the audit for the years 1996, 1997, and 1998 have been scheduled. The Treasurer requested that the Executive Committee take measures to finalize the budget for the year.

 

A motion was made and seconded to accept the proposed budget submitted by the Treasurer, to be used as a guideline. Motion carried.

 

The President asked the Treasurer to provide her with monthly updates of the budget following the newly approved budget guidelines. The Treasurer agreed to break categories down further to better detail expenditures. The Treasurer stated that she will review Accounting Procedures provided in the 1999 Leadership Handbook and bring a revised copy to the next meeting.

 

Each committee member received packages containing the 1998-1999 membership list; the 1999-2000 membership list; and the 1999 breakdown by college membership list.  Monica Terry, Membership Liaison, reported that we are planning to provide a Membership Directory to all participants at the fall convention. The Directory will include member’s college information and what commission each has expressed an interest in.

 

The Membership Liaison also reported that the deadline for the Earlybird Membership Contest (for a $100 cash award) will close on June 30. Two additional cash prizes of $25 and $50 will be awarded at the fall convention for most members enrolled between July 1 and October 1.

 

The President reported that two master teacher scholarships were awarded in the amount of $550 each. The scholarships are supported by the Faculty/Instructional Affairs Commission, and this year’s recipients were Ken Robol of Tidewater and Paul Weitzel of Eastern Shore.

Members at large should remind their colleges of the following deadlines: The Student Showcase deadline is July 1, 1999, and the Faculty Showcase

 

deadline is September 15. Support Staff Showcase deadline is July 9. 1999. Colleges are asked to submit sooner if possible.

 

Sue Captain, Parliamentarian, reported that the applications for the “Honoring Excellence in Publications” competition, which will be featured at the fall convention, have been mailed. The deadline for submission is August 1, 1999.

 

The President announced that all arrangements for the Fall Convention 2000 have been finalized at the Hotel Roanoke, Roanoke, Virginia.  She also recommended that the President-Elect confirm a location for the 2001 convention.

 

Sue Painter, Publication Liaison stated that she would like the Fall Newsletter to be at the colleges when the faculty return on August 16.  Everyone was reminded of the July 1 deadline for article submissions to the Convention VCCA Newsletter.

 

A motion was made and seconded to adjourn the meeting at 1:00 p.m.  Motion carried.  The next meeting of the VCCA Executive Committee will be 8:00 a.m. on June 18, 1999.
