VCCA EXECUTIVE COMMITTEE

                                  MEMORANDUM FOR THE RECORD

                                             NOVEMBER 4, 1999

 

The meeting was called to order in room 214 of the Woodstock Ramada Inn in Woodstock, Virginia by Lori Wack, president. 

 

Those in attendance were:

The minutes from the previous meetings were distributed for approval.  A motion was made and seconded to approve the minutes from the September 9, 1999 and October 9, 1999 meetings.  Motion carried.

 

The new VCCA treasurer is Carolyn Haines from Lord Fairfax Community College.  There was no treasurer=s report, Claudia Macon was not present at the meeting.

 

Dates and location for the 2000 VCCA Convention were discussed. 

 

The treasurer will purchase a VCCA Executive Committee receipt book for recording purposes.  All receipts must be submitted to the treasurer immediately for verification and payment.

 

Only the VCCA president, president-elect or designee will contact hotels and/or vendors on behalf of the VCCA.  Any perks offered for lodging limits, etc., will be returned to the VCCA in some manner, not to an individual.

 

Notes of the commission meetings will be sent to the president-elect for submission on the VCCA WebPage.  Robert Jobin will update the VCCA WebPage with listings of the new officers and contact changes.   Hard copies of the WebPage information was distributed to the committee for review.  The Executive Committee was asked to review the information and submit any changes, suggestions, etc.  to Lori Wack.

 

A formal thank you letter will be sent to the contributors and vendors from the 1999 VCCA Convention.  The letters will be generated by Lori Wack.

 

Newsletter deadlines were discussed.  Sue Painter noted that information must be submitted ASAP to meet printing deadlines. 

 


Copies of the 1999 Convention evaluation were distributed.  The Convention evaluation report was completed by Linda Rhinard, president-elect.  The overall evaluation was excellent.  However, some suggestions such as partial payment consideration and showcase set-up will be taken under advisement.

 

The meeting was adjourned for dinner.  The meeting was reconvened at 8:30 p.m. in Room 214.

 

Plans for the VCCA 2000 Convention were discussed.  The site is the Hotel Roanoke.  Suggested speakers were named and will be contacted by the Executive Committee.    It was suggested that Norfolk be considered as the 2001 Convention site.  Pricing and availability will be investigated by Linda Rhinard, Gwen Smith and Monica Terry.

 

Minutes of the Faculty and Instructional Affairs Commission were distributed.

 

A PG&D proposal from Southwest Virginia Community College was distributed.  The topic is AHolistic Experiences of African Culture and History Through Dance Drama@ and the request is for $1,200.   A motion was made and seconded to approve the PG & D proposal from Southwest Virginia Community College entitled AHolistic Experiences of African Culture and History Through Dance Drama.@  Motion carried.

 

A budget plan for 1999-2000 will be developed.  Estimates for the 2001 Convention were discussed. 

 

There was discussion regarding Dell Computers and their commitment to offer low prices to VCCA members. 

 

Formulation of a membership committee was discussed.  It was noted that the VCCA must increase the membership and each Executive Committee member is asked to think of ideas to be discussed at the February meeting.

 

Commission liaisons for the 1999-2000 year were assigned.  Liaisons were reminded that they are required to attend their commission meetings at the convention and at the leadership conference.  They are also required to distribute and exchange ideas and information between their commission and the Executive Committee.

 

The VCCA Classified, Faculty and Student Showcase production at the Convention was discussed.  Ideas to improve the format will be discussed further at the February meeting.

 

A resolution making Bobby Wrenn a VCCA lifetime member was available for presentation at the 1999 Convention.  Unfortunately Mr.  Wrenn was unable to attend.  This will be presented at the 2000 convention.

 

A motion was made and seconded to adjourn the meeting at 10:00 p.m.  Motion carried.  The meeting will reconvene at 9 a.m. on November 5, 1999 in room 214.

The Executive Committee reviewed the 2000 VCCA Leadership Conference program. 

The Executive Committee was asked to review the VCCA Handbook.  All suggestions, changes, etc., should be e-mailed to Lori Wack.  The Handbook will be published for distribution at Leadership.

 

A motion was made and seconded to make the following change in the VCCA Handbook: Any expenditures by the VCCA in amounts under $1,000 will only require the signature of the treasurer.  The floor was open for discussion.  After discussion the motion was amended to the following: Any expenditures approved by the VCCA Executive Committee in amounts over $1,000 will need the signature of the VCCA treasurer and president.  Motion carried.

 

There was discussion regarding a theme for the 2000 VCCA Convention.  A motion was made and seconded to accept AOne Voice - One Vision@ as the VCCA 2000 Convention theme.  Motion carried.

 

The Executive Committee was reminded that there will be videotaping of members and attendees  at the Leadership Conference.  Please encourage people to express their opinions about the benefits of being VCCA members. 

 

Commission chairs will receive packets with convention information at the Leadership Conference.  The purpose and identity of the commissions was discussed.  It was noted that some of the commissions have ben inactive for a number of years.  The Executive Committee will investigate restructuring of commissions. 

 

The role of students in the VCCA was discussed.  It was noted that the VCCS Student Leadership Conference is the month after the VCCA Convention and this prevents many students from attending since budgets are limited.


A motion was made and seconded for Monica Terry, VCCA Secretary, to investigate the purchase of a laptop computer for the VCCA.  Motion carried.  It was noted that she will bring three bids to the next VCCA meeting.

 

A new membership contest was discussed.  This will be discussed further at the next meeting.

 

The participation of vendors at the Convention was discussed.  Vendors will be available from 11 a.m. - 4 p.m. on Thursday, October 5, 1999.

 

Door prizes will be awarded at the breakfast session on Friday, October 6.   Everyone in attendance will have a chance to win. 

 

Gifts for the convention speakers will be decided on at the next meeting.

 

Each commission will be asked to submit a report for the newsletter at the Leadership Conference.  The liaisons will be responsible for collecting the information and submitting to Sue Painter.

 

Registration for the Leadership Conference will be $50.  More information will be distributed in January.

 

A motion was made and seconded to adjourn the meeting at 11:30 a.m.  Motion carried.

 

The next meeting of the VCCA Executive Committee will take place on February 3-4, 2000.
